Cancellation Policy

NXT Level Sport and Education Cancellation Policy

The following applies when a customer has booked an event and would like to cancel it.

All amounts retained reflect the costs incurred by NXT Level Sport and Education in the administration, organisation and preparation of bookings and venues.

If you have to cancel your event, the organiser must contact NXT Level Sport and Education in writing, by emailing info@nxtlevelsportsed.co.uk prior to the event. Your cancellation is not confirmed until you have received a confirmation email from a NXT Level staff member.

Regular Bookings:

You can change, amend or cancel your bookings for the upcoming month up until the 1st of each calendar month when invoices are due for payment. After this time, all booking costs for bookings within that calendar month will be retained and cannot be refunded. Please note that any cancellations made with under 7 days’ notice between the 1st-7th of the month will still be charged.

We may be able to extend or add additional bookings after the 1st of the month, but we cannot reduce your hours or amount of bookings.

The original price paid will remain the same, even if:

  • You move to an alternative cheaper space

  • You reduce the timings of your booking

  • You need to cancel your booking

If your entire regular booking is cancelled before the booking has started, your deposit will be retained.

If you make a booking after the 1st of the month for that same calendar month, the full booking cost will be retained if that booking is later cancelled.

One-Off Bookings:

If you cancel your one-off booking, the following charges apply:
More than 7 working days before your event = Deposit retained
Up to & including 7 working days before your event = Full booking cost retained

If you choose to end your event early, or leave the facility before your agreed booking period ends, unfortunately this will not result in a refund.

Camp Bookings:

If you cancel over 4 weeks before your camp is due to start, your booking deposit will be retained.

If you cancel 2-4 weeks before your camp is due to start, 50% of your total booking cost and the booking deposit will be retained.

If you cancel 2 weeks or less before your camp is due to start, the full booking cost (including deposit) will be retained.

Rearranged Bookings

At the sole discretion of NXT Level Sport and Education; if a cancellation has resulted in your deposit being retained, the deposit can be carried over to future bookings with NXT Level Sport and Education.

Cancellation by the School/NXT Level Sport and Education

The following applies when a customer has booked an event and NXT Level needs to cancel it.

Although we endeavour to avoid cancellations, it is in the nature of regular bookings that school events, particularly exams, do come first. We work hard to provide as much warning as possible about these cancellations (particularly annual exam ‘seasons’) both at the time of arranging and throughout the year. However, when cancellations occur, we recognise this is an inconvenience and do our best to address it or provide alternative solutions.

We aim to provide at least two weeks’ notice. If there are late cancellations, we will never charge you for spaces you didn’t use, and apologise wholeheartedly for the inconvenience. We will never make a cancellation without exhausting all options to enable the booking to go ahead, and it is never something we do lightly.

Any cancellations made by NXT Level will be refunded for the amount of the affected session within 10 working days.
